Minutes of the meeting of Board of Directors

Attendees: Tom Anderson (TA), Michael Foster (MF), Laura Smart (LS), Sean Chambers (SC), Michael Culkin (MC) and Catherine Culkin (CC).

  1. Apologies for Absence, welcomes

In advance of the meeting, AH informed the Board that he had decided to resign from the Board, although he remains a Trust member.  He felt that, given the pressure of other commitments, he was unable to give as much time to Shots Trust business as he would like and felt that it was better for him to step down.

His resignation, which the Board accepted, took effect from Thursday 22nd October 2020. TA has since spoken to AH and, on behalf of the Board, expressed our thanks for his efforts and wished him all the best in future endeavours.

TA then welcomed our two new co-opted board members, Michael and Catherine Culkin.  Lifelong Shots fans, they look forward to working with us from January onwards.

  1. Approval of minutes of last meeting

The minutes were approved.

  1. Review of previous actions

Of the 3 actions carried forward from October, all were completed.

  1. Financial Report and fundraising update

LS reported that accounts figures remain healthy and continue to grow; happily, CFS numbers have again increased.  In discussions, TA proposed that the offer of free Trust membership for those who purchase a full year’s CFS subscription should be extended to 22nd January 2021, given the difficulties imposed by lockdown.  The Board agreed.

LS was also pleased to report that the advertising of Easy Fundraising was paying dividends; £100 had been paid to the Trust from supporters’ online shopping via the Easy Fundraising website.  LS asked the Board to keep advertising the website, especially in the run-up to Christmas.

MF reported that Shots Trust membership has also increased to a healthy number. He also stated that he continues to familiarise himself with the new membership database, which works very differently to VTiger.  He is taking time to draft new standard emails which he hopes can be automated. For example, automatic reminders to members whose subscription is nearing expiry; follow-up reminders, etc.  He hopes to work with RC to finalise the work by Christmas.

Chairman’s Update

Overview: TA noted that he has worked with the Shots Trust for 8 years to the day, and has been Chairman for the last 4.5 years.  He remarked that it has never ceased to be enjoyable yet challenging in equal measures! The Board congratulated TA on his services and staying power!

Companies House: TA advised that an application had been made to compulsorily strike Aldershot Town Football Club Limited 1992 from the register of companies. He explained that the process means that, unless anybody objects to this move within two months of the date listed, then the company is struck off and becomes defunct with no further redress.

Membership benefits: TA was pleased to report that since October’s Trust Board meeting, we have secured two extra membership benefits.  Both Wimpy and Ria Pizza, in Aldershot’s Wellington Centre, will give 10% discounts to card-carrying Shots members. TA put on record the Trust’s thanks to both restaurants. The Board will continue to speak and liaise with other outlets, with the aim of agreeing further membership benefits.

Sunday League Team: TA updated the Board on all Sunday League Team matters.  Since last Board meeting and prior to the latest lockdown, the team recorded a further two wins and now sit third in the league table, with games in hand on both of the teams above.

Team morale is at an all-time high and it was great to see a large majority of the playing squad get together for a team meal on Friday 30th October 2020.

TA was particularly pleased to report that, following a win against AFC Farnham Vets on 1st November, the Chairman of our opponents, Farnham Vets, was extremely complimentary about the team and the support provided by the Trust. He was particularly impressed with our team’s conduct on and off the pitch and gave credit to our sportsmanship and discipline. TA expressed his thanks to manager Dave Wright, as well as thanking individual team members personally following such excellent feedback. Despite lockdown, TA continues to liaise with Mr Wright, to ensure everything is ready to go once we get the go ahead to resume playing.  Grassroots football has of course been suspended, until at least 2nd December 2020. This means that we cannot even undertake training sessions. The League hopes to restart on 6th December, IF confirmation is received from the county FA.

Training facilities: TA is also in communications with both Rushmoor Saints and Aspire, to keep abreast of the works currently underway at our training ground.

  • New co-opted directors: MC and CC attended the meeting and we were able to discuss their roles and what was expected from them. They are both looking forward to getting to grips with the work of the Trust, beginning in January 2021 which suits them best. The Board was happy to welcome them on board.
  • Christmas dinner: LS proposed having a Trust Christmas dinner; the Board agreed. We are also considering a Christmas dinner for the SLT.
